We currently have an opening for a Executive Assistant.

RESPONSIBILITIES:

  • Provides administrative support to one of the senior level executive staff and the respective departments.

  • Performs and/or coordinates a variety of routine and complex administrative assistant duties that will assist the executives in maintaining an orderly and professional atmosphere.

  • Manages and maintains the VP’s calendars and contact lists and prepares the VP’s for meetings and other events.

  • Coordinates complex multifaceted logistics for a variety of meetings, conferences, committees, and special projects; attends meetings and takes notes.

  • Assists in compiling, developing and maintaining budgets; maintains detailed spreadsheets and databases of component expenditures; monitors several budgets.

  • Acts as a positive gatekeeper for internal and external customers; interprets departmental and/or corporate policies and procedures.

  • Prioritizes, distributes, and/or takes action on mail and email, screens, directs, and responds to incoming phone calls.

  • Coordinates domestic and international travel logistics, preparing detailed itineraries. Provides background information on meetings and trips. Tracks and gathers related expenses and compiles expense reports.

  • Manages office operations including ordering supplies and equipment, and maintaining general organization of the office environment.

  • Maintains department calendars; modifies and updates department intranet pages.

  • Composes keyboard reports, correspondence, memos, forms, and agendas; proofreads documents for accuracy, completeness and conformity, to established formats; creates complex original draft correspondence; designs and creates brochures, forms, flyers and other informational materials.

REQUIREMENTS:

  • Highly experienced administrative professional. 

  • 5 years of previous experience supporting middle to senior managements.

  • Advanced proficiency in a variety of software packages (MS Word, Excel, Outlook and PowerPoint).

  • Experience handling highly sensitive and confidential business matters and information with discretion.

  • Ability to plan, organize, and prioritize responsibilities in order to meet deadlines

  • Ability to successfully manage multiple projects.

  • Ability to work independently and as a team member, while using discretion in decision making and sound judgment in problem solving.

  • Responsive and flexible; willingness to take initiative and assume responsibility; ability to use judgment in non-routine matters; ability to think independently and be assertive in seeking clarification throughout multiple levels of the organization.

  • Excellent communication skills including the ability to effectively communicate over the telephone, in person, and in correspondence.

PREFERRED:

  • Two year degree or undergraduate degree.

  • Professional certifications, e.g., CPS, CAP, MOS.

  • Experience working in Finance or Human Resources.

  • Proficiency in FrontPage, and Dreamweaver.
